Refund transaction

The instructions below describe how to perform a refund of a previous charge card purchase.

Note

You can only refund a transaction that has NOT been settled. Generally, if the transaction is for any date less than today, then it will have been settled. To refund a settled transaction for BP Fuelcards requires preparation of a paper credit voucher. Customers with Cardlink cards who are wanting to refund a settled transaction should directly contact their card issuer for instructions.

Press '2' for the Fuelcard application.

Press the 'Menu' key.

Select item 3 - Refund.

Refund processing may be protected by the Merchant Card.
To turn on/off the Merchant Card restriction, see configuration Menu

Refund Swipe Customer Card


Swipe the customer's card.

You must now enter the date, transaction number and value of the original transaction that is to be refunded.
This information is printed on the original transaction receipt.

REFUND BP Fuelcard Enter details from original receipt Date: 15032005 ddmmyyyy


The terminal will automatically insert today's date as the original transaction date. If this is correct, press ENTER to accept it and move to the next prompt.

Otherwise press CLEAR and key in the date of the original transaction in the form: dd mm yyyy.

REFUND BP Fuelcard Enter details from original receipt Date 15/03/2005 Ref nmbr: ______


Key in the 'Reference Number' from the original receipt (Leading zeros are not required to be input).

Press ENTER when the reference number has been input.

Key in the value of the transaction being refunded, as per the original receipt.

Press ENTER when the transaction value has been input.

The transaction is sent to the BP host for authorization.

If the host can match the original transaction and it has not been settled or previously refunded, the host will return an accepted response and the terminal will display this as:

and a receipt similar to that shown below will be printed.

If there is a problem, for example the value or receipt number was incorrectly entered, a Declined message will be displayed and a declined receipt printed. Repeat the process again, from step 2.
